How to organize your wedding vendors

Keep your wedding vendors organized with a contact list, timeline, communication system, and budget tracker. Avoid last-minute chaos.

How to organize your wedding vendors

Your wedding needs dozens of people to pull it off, and most of them are vendors you've hired. Organizing them isn't really about spreadsheets, though those help. It's about having a system so you know what's due when, who you've paid, and what you're still waiting on.

If you have a photographer, florist, caterer, venue contact, DJ, and a few others in the mix, you need a plan. Here's how to build one.

Create a vendor master list

Start simple. List every vendor you've hired:

  • Vendor and business name
  • Contact person and phone
  • Email and website
  • Contract date
  • Total cost and deposit
  • Balance due and payment deadline
  • Arrival time on the day

This is your reference. You shouldn't need to dig through emails to find a phone number or wonder if you've paid an invoice.

With Memorra, you store all this in one vendor section instead of juggling spreadsheets and old emails.

Work by timeline

Your vendors need different things at different times.

Six months before. You're hunting for vendors, getting quotes, signing contracts. Mark them as "Contracted" or "In Progress" in your system.

Three months out. Ask your caterer for headcount deadlines. Ask your photographer what shots matter most. Pin down design details with your florist.

One month before. Lock everything down. Confirm arrival times, parking, setup needs. This is when you catch that your DJ doesn't know you want 80s covers or that your caterer needs more gluten-free options.

One week before. Final check-in on arrival times and logistics. Make sure everyone has the right address and your phone number.

The day before. A quick message to each vendor. Thank them and confirm tomorrow's timing.

Set up a communication system

Track conversations as much as you track the vendors themselves.

Email for official stuff. Contracts, quotes, receipts, instructions, confirmed timelines. Email creates a record.

Text for quick confirms. A text five days before saying "Still coming Saturday at 2?" is normal. Many vendors prefer it.

Keep it findable. Reply-to-self in email, use a shared doc, or screenshot important texts into a notes app. When you need to remember what you told your photographer, you should find it fast.

Memorra lets you draft and send vendor emails and texts from one place, with every thread organized next to your vendor info.

Track payments and contracts

You need to know what you owe each vendor and when.

  • Total cost
  • Deposit paid
  • Balance remaining
  • When it's due

A simple table works:

VendorTotalDepositBalanceDuePaid
Photographer$2,500$1,250$1,2505/15No
Caterer$4,000$1,000$3,0007/1No
Florist$1,200$600$6006/15Yes

Keep copies of contracts where you can grab them fast. If the caterer says something you don't remember, you should be able to pull the contract in seconds.

Memorra includes budget tracking so you can log costs, see what you've spent, and watch your remaining budget.

Document what each vendor needs

Each vendor has different requirements. Your photographer wants a shot list. Your florist needs color details. Your caterer needs headcounts and allergies.

For each vendor, make a simple document with:

  • What they're delivering
  • Key dates and deadlines
  • Specific requests (color scheme, dietary needs, song preferences)
  • Who they'll talk to on the day (you, your partner, a coordinator)
  • Parking and setup info for your venue

Send this about a month before and ask them to confirm they have what they need. This stops the "oh, I didn't know" moment at 4 PM on your wedding day.

Set reminders

Don't trust your memory.

  • 6 months before: contracts signed
  • 3 months before: ask for final details
  • 1 month before: final confirmations and payment reminders
  • 1 week before: confirm arrival times
  • 2 days before: send day-of reminders

The basics

Vendor organization comes down to three things: a complete contact list, clear communication, and regular check-ins. When you can see who you hired, what you paid, and what's pending, it feels manageable.

Memorra keeps your vendor contacts, budget, and communication in one place. No jumping between spreadsheets and texts. The core work stays the same though: stay organized, confirm details early, and write things down.

Your vendors want to do good work. Making it easy for them and staying on top of your end means your wedding runs smoothly.
