Corporate Holiday Party Planning Checklist

A month by month corporate holiday party checklist covering venue, headcount, catering, and RSVPs so the whole thing runs without last minute scrambling.

A corporate holiday party comes together best when you start about eight weeks out, because the good December venues book fast and you need a real headcount before you can lock catering. The work splits into a few clear phases: pick a date and budget, book the venue and caterer, send invitations and collect RSVPs, then handle the day of logistics. Most of the stress in a company party comes from one thing, an unreliable headcount, since catering, seating, and cost all hang on knowing who is actually coming. Nail the RSVP process and the rest is mostly booking and confirming. Here is a checklist you can work backward from, phase by phase.

Eight to six weeks out: lock the foundation

Set the date first, ideally avoiding the two weeks right before the holidays when calendars are packed. Then set a per head budget, because that number drives every other choice. With those two settled, book the venue and get the caterer penciled in. December venues fill early, so this is the step you cannot delay.

  • Confirm the date and get it on the company calendar
  • Set a total budget and a rough per head number
  • Book the venue and request a catering hold
  • Decide whether plus ones and families are invited, since that changes headcount a lot

Five to three weeks out: invite and count

Send the invitation with a clear RSVP deadline about two weeks before the event. For a company party, the RSVP is where things fall apart, because people ignore a calendar invite and reply-all threads bury the count. Send each person a real invitation with a one tap reply, and track who has not answered so you can nudge them directly.

  • Send invitations with an RSVP deadline
  • Collect dietary restrictions and plus one names at the same time
  • Track responses and send a reminder to anyone still pending
  • Give the caterer a preliminary count

Two weeks to the day of: confirm everything

With RSVPs mostly in, confirm the final headcount with catering, finalize the seating or table plan if it is a seated dinner, and confirm timing with the venue and any entertainment. Build a simple run of show for the evening so someone knows when dinner is served and when remarks happen.

  • Give catering the final guaranteed count
  • Confirm setup time, AV, and parking with the venue
  • Send attendees the final details, including time and address
  • Assign one person to be the point of contact on the night

Where the headcount actually lives

The checklist only works if the headcount is reliable, and a spreadsheet fed by reply-all emails is not reliable. Memorra lets you build the attendee list, send invitations by email or text with a one tap RSVP, and collect dietary notes and plus ones in the same place. You can see who has not responded and remind only them, then hand the caterer a count you trust. It works for a 30 person team dinner or a 300 person company party, and the flow is the same either way.
