How AI Vendor Search Actually Finds You Real Vendors

Most "AI vendor finders" just describe vendors that might exist. Here is how a search grounded in live web results is different, and how to use one well.

Type "best wedding photographers near me" into a chatbot and you'll get an answer fast. The problem is that answer is a guess. Language models are trained on text, not on which photographers are currently taking bookings, what they charge this year, or whether their phone number still works. Ask a plain chatbot for vendor names and it will sometimes just make them up, confidently, with fake websites attached.

That distinction matters more than it sounds like it should, because vendor research is one of the most time-consuming parts of planning anything. A wedding alone usually means finding and vetting a venue, photographer, caterer, florist, DJ, and a handful of smaller vendors on top of that. Do that by opening ten browser tabs per category and you've lost a weekend before you've booked anything.

What "grounded" search actually means

When you search for vendors in Memorra, the request doesn't go straight to a language model and stop there. It runs a real search first, the same kind of query you'd type into Google, against live listings and business data for your category and location. Only after that does the AI step in, and its job at that point is narrower: read through the raw results and pull out the useful parts. Name, description, address, phone number, website, rating, price range, and a starting price if one is listed.

That ordering is the whole point. The AI isn't inventing a caterer named "Rustic Table Catering Co." because it sounds plausible. It's reading an actual listing and summarizing it. If a business doesn't show up in the search, it doesn't show up in your results.

Why that changes what you can trust

A generic AI vendor "recommendation" is really just pattern completion. It's the model producing the kind of thing a florist listing would contain, whether or not that florist is real. You can't call the number. You can't visit the website. It's a placeholder dressed up as a result.

A search-grounded result comes with a phone number you can dial today. When Memorra doesn't have complete contact details from the first pass, it runs a second, more targeted lookup to fill in whatever's missing, like a phone number or website that wasn't in the original listing. You're not getting a nicer-sounding guess. You're getting the same information you'd find doing the manual search yourself, just already organized and ready to compare.

Searching by budget, not just category

Because your event budget is already in the system, vendor search can flag which results fit and which don't before you spend time reading through them. A venue quoted at $12,000 to $20,000 shows up marked as over budget if your venue line is set to $10,000. That sounds small, but it's the difference between filtering a list yourself line by line and having the filtering already done.

Search results are cached for a week per category and location, so if you search "photographers in Denver" today and again in three days, you're not waiting on a fresh search each time or burning through your monthly search allowance for no reason.

Using it well

A few things that make vendor search more useful in practice:

Be specific about category and location rather than searching broadly. "Wedding caterers in Austin" surfaces more relevant results than "catering."

Set your budget for that category before you search, so the fit indicators are actually meaningful.

Treat the results as a shortlist, not a final answer. The search gets you real names, real numbers, and real starting prices fast. The actual vetting, the phone call, the tasting, the contract, is still yours to do.

Once you've found someone worth contacting

Finding the vendor is only the first step. Memorra also keeps a record for each one, prospect, contacted, negotiating, booked, paid, along with a log of every call, email, and note tied to it, so you're not trying to remember which caterer you already talked to. When you're ready to reach out, it can write the outreach or negotiation email or text for you, matched to your budget and the tone you want, ready to send by email or SMS. You still review it and hit send. It just means you're never staring at a blank message trying to figure out how to ask a photographer for a discount.
